The International Society of Ocular Oncology ("ISOO", "we", "us") maintains this website for the benefit of its Members and other practitioners, researchers, and trainees in the field of ocular oncology. By using this website, you agree that you have read these Terms of Use and the ISOO Privacy Policy and that you agree to be bound by both. If you do not agree, do not use or access this website and do not register as a user.
You must be at least 18 years of age to use this website or to register as a user.
Definitions
"You", "your", and "user" mean any individual or entity accessing this website for any purpose.
"Website" means www.isoo.org and any other ISOO-operated website, including ISOO event registration and membership platforms.
"Website Content" means all material, documents, articles, text, photographs, slides, graphics, files, logos, images, audio, video, software, and code placed or maintained on the website by ISOO or with ISOO's permission.
"Member" means an individual who has applied for membership in ISOO in a particular membership category and has been duly accepted as a member in that category.
"Event" means any ISOO congress, meeting, webinar, course, or other activity for which registration is offered through the website or ISOO's registration platform.
User Accounts
Only a Member can create and maintain a user account. You are responsible for the security of your account credentials. You agree not to let anyone else use your account. Event Registration
When you register for an Event, the following terms apply in addition to any event-specific terms presented during registration.
Accurate information. You agree to provide accurate and complete registration information and to keep it current.
Display of participant information. You agree that ISOO may display your name, credentials, professional affiliation, and country in connection with the Event, including on the ISOO website, in the online and printed program, in participant and attendee lists, in the event mobile app, in abstract publications, and on name badges. If you are a speaker, moderator, faculty member, or award recipient, you agree that ISOO may also publish your photograph, biography, and presentation title on the website and in Event and promotional materials. Requests to limit this display may be sent to admin@isoo.org and will be honored where practicable.
Photography and recording. ISOO Events may be photographed, recorded, and livestreamed. By registering for or attending an Event, you consent to ISOO capturing and using photographs, video, and recordings that may include your image, likeness, voice, and presentation content for educational, archival, and promotional purposes, without compensation. If you have concerns, contact admin@isoo.org before the Event.
Fees and refunds. Registration fees, payment methods, cancellation deadlines, and refund terms are stated in the registration materials for each Event and form part of these Terms for that Event.
Program changes. Event programs, speakers, formats, and schedules are subject to change without notice.
Conduct. All registrants and attendees must comply with ISOO's code of conduct and with the reasonable instructions of ISOO staff and organizers. ISOO may deny or revoke registration for conduct that violates these Terms or the code of conduct.
Communications
By becoming a Member or registering for an Event, you agree that ISOO may contact you by email regarding your membership, your registration, governance matters, and Society business. Communication preferences and opt-out options are described in the ISOO Privacy Policy.

Governing Law and Venue

Who We Are
The International Society of Ocular Oncology ("ISOO", "we", "us") is a professional medical society incorporated in the State of Wisconsin, United States. This Privacy Policy explains what personal information we collect, how we use it, when we display or share it, and the choices available to you. It applies to our website (www.isoo.org), our membership and event registration platforms, and our events and communications.
This Policy is adopted under Section 8.6 of the ISOO Bylaws, which governs data protection and privacy for the Society.
Information We Collect
Membership information. Name, credentials, professional affiliation, specialty, country, contact details, membership category, and dues and payment history.
Event registration information. Registration details for congresses, webinars, and other events, including dietary, accessibility, or travel information you choose to provide, and payment confirmation details.
Submitted content. Abstracts, presentations, biographies, photographs, and other materials you submit for events, awards, competitions, or publication.
Website data. Information collected automatically when you visit the website, such as cookies and usage data. See Section 13.
Correspondence. Emails and other messages you send to ISOO.
How We Use Your Information
ISOO collects and processes member, delegate, speaker, sponsor, and volunteer information solely to operate the Society. This includes:
Administering membership, dues, and member benefits.
Processing event registrations and payments and organizing events, including the Biennial Congress and the ISOO webinar series.
Publishing event programs, participant materials, and abstract publications.
Communicating Society activities, governance matters, and events.
Administering travel grants, awards, and competitions.
Maintaining Society records and complying with legal, tax, and regulatory obligations.
ISOO does not sell or rent personal information. Personal use, commercial use, or any use of Society data unrelated to ISOO duties is prohibited for all directors, committee members, organizers, vendors, and agents.
Public Display of Your Information
Member directory. If you are a Member, your name, credentials, affiliation, and country may appear in the member directory, which is visible to logged-in Members. You may request removal from the directory at any time.
Event participants. When you register for an ISOO event, your name, credentials, professional affiliation, and country may be displayed on the ISOO website, in the online and printed program, in participant and attendee lists, in the event mobile app, and on name badges.
Speakers, faculty, and award recipients. If you serve as a speaker, moderator, panelist, or faculty member, or if you receive an award or win a competition, ISOO may publish your name, photograph, biography, affiliation, presentation or entry title, and related materials on the website, in event materials, in newsletters, and on ISOO social media channels.
Event photography and recordings. Photographs, video, and recordings from ISOO events may include your image and may appear in event galleries, on-demand libraries, newsletters, social media, and promotional materials.
To request that specific information or images be removed from public display, contact admin@isoo.org. We will honor requests where practicable, subject to materials already in print or distribution.
Email Communications
Administrative and transactional emails. ISOO sends Members and registrants emails necessary to administer membership and events. These include dues notices, registration and payment confirmations, event logistics, governance notices such as Annual Meeting notices and voting materials, and bylaws-required communications. These messages are part of membership and registration and cannot be opted out of while your membership or registration is active.
Society news and announcements. ISOO also sends newsletters, event announcements, webinar invitations, and similar communications. You may opt out of these at any time using the unsubscribe link in the email or by contacting admin@isoo.org.
ISOO does not sell, rent, or share its email lists with third parties for their own marketing purposes.
How We Share Information
Service providers. ISOO uses third-party providers to operate the Society, including our membership and event platform, website host, email delivery services, video conferencing providers, and payment processors. Providers that process personal data for ISOO must do so under a written data processing agreement that limits use to ISOO's documented instructions, requires appropriate security measures, prohibits onward disclosure without ISOO's written consent, and obligates prompt incident notification.
Sponsors and exhibitors. Event sponsors and exhibitors receive aggregate statistics only, such as total attendance and countries represented. Your individual contact information is shared with a sponsor only if you give consent, for example by opting in to a badge scan or sign-up at that sponsor's booth or session.
Legal requirements. ISOO may disclose information when required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of ISOO, its members, or others.
No sale of data. ISOO does not sell personal information to anyone.
Payment Information
Payments to ISOO are processed by third-party payment processors. ISOO does not store full payment card numbers on its own systems. Payment processors handle your card information under their own security standards and privacy policies.
International Users
ISOO is headquartered in the United States, and personal information is processed and stored in the United States. ISOO has members in more than 60 countries. By using our website and services, you understand that your information will be transferred to and processed in the United States. Where personal data is transferred across borders, ISOO uses lawful transfer mechanisms appropriate to the jurisdictions involved and requires its processors to do the same. Where applicable law grants you additional rights, ISOO will honor those rights as required.
Security
ISOO maintains reasonable administrative, technical, and physical safeguards to protect personal information. Access to personal data is limited to individuals who require it for their ISOO role and who are bound by confidentiality obligations. No method of transmission or storage is completely secure, and ISOO cannot guarantee absolute security. In the event of a data breach, ISOO will notify affected individuals and regulators when required by applicable law.
Data Retention
ISOO retains personal information for as long as needed for the purposes described in this Policy and as required by law. Absent legal retention obligations, membership records are deleted within a reasonable period after membership ends, and congress delegate records are deleted after completion of post-event reconciliation and reporting.
Your Rights and Choices
You may request access to, correction of, or deletion of your personal information, subject to legal limitations. You may also opt out of non-essential communications and request removal from the member directory or from public display as described above. To exercise any of these rights, contact admin@isoo.org. We will respond within 30 days.
Children
The ISOO website and services are intended for medical professionals, researchers, and trainees. They are not directed at individuals under 18 years of age, and ISOO does not knowingly collect personal information from anyone under 18.
Cookies
The ISOO website uses cookies and similar technologies provided by our website platform and analytics tools to operate the site, remember preferences, and understand how the site is used. You can control cookies through your browser settings. Disabling cookies may affect some website features.
